Pre-Tour Advance Preparation
At Platinum Road, we take pride in our extensive range of services tailored to meet the intricate needs of our clients. Review all deal sheets and agreed show expenses.

Creation and/or adjustment of tour technical rider.

Tour budget creation and forecasting.

Go over clients vision for stage design and collaborate with designer to create proper renderings, cue sheets & plots for distribution.

Procurement of necessary tour vendors (sound, lights, video, rigging, staging, scenic, design, freight forwarding, trucking, buses, travel agent, livery services, catering, etc.).

Hiring any and all necessary tour personnel.

Creating on-sale ticketing letter for venues and reviewing show builds/cads and ticket holds/kills.

Tour & Show Advance
-
Prepare information sheets for completion by venue and/or local promoter representatives while requesting and reviewing all necessary venue tech packs and rendering overlays.

Info sheet includes important venue information utilized during advance and for show days while helping to setup the advance.

Schedule and facilitate all advance calls with venues and/or local promoter representatives with all relevant parties included.

Advance all required show elements including: stagehand labor calls, technical requirements (audio, lighting, video, backline, special effects), stage setup, schedule runners and local casual labor, catering/hospitality needs, dressing rooms, VIP program activations, security and ushers (as well as any on-site security requirements – ie: yond’r, k9, ingress setup and search protocols, police escorts, deployment, and all other key items).

Hire local vendors if required and review vendor estimates provided for approval.

Provide settlement procedures (send out settlement instructions if required) as well as review of pre-settlement when requested.

Dissemination of information to all relevant parties.

For international touring, coordination of work permits and foreign visas.

Make any and all necessary changes when required.

Day of Show Activities
-
On-site management of load-in, show build and load-out.
-
Prepare daily schedules for full touring party (utilization of master tour).

Conduct and/or schedule soundcheck.
-
Conduct on-site security meeting (if hiring a venue security coordinator, overseeing security advance, briefings and engaging as needed).
-
Call show and/or video cues.
-
Release any unused tickets and review any additional holds/kills for sale.
-
Review and sign off on all show day expenses, box office & platinum ticket reports and show settlement. Give pushback on non-agreed upon expenses or costs unless they have been agreed as chargebacks.

Troubleshoot any and all show day related issues should any arise.

Oversee any Pre/Post/VIP activities.

Coordination of travel movements for all parties.

Work closely with management and/or publicist on scheduling of any media appearances or interviews and logistics involved while on-tour.

Settlement / Tour Accounting

Create pre-settlement and settlement instructions and review all items as they come in.

Place any cash requests in advance (if needed).

Conduct settlement with all required parties.
-
Review any/all discrepancies and give necessary push-back should it include costs associated (discuss items with agent and/or manager if necessary).

Give final word on closing box office and receiving of final box office ticket audits as well as drop count and platinum report (if platinum ticketing was included).

Go over any ticket rebates or bonuses if agreed.

Sign off on settlement (have copies of settlement sent to all necessary parties).

Provide payment information (ACH, Wire, Check, W9/W-8BEN), while confirming deposits.

Go over all vendor and/or tour personnel rates with business manager and agreed payment schedules.

Reconciliation of tour expenses.

Offering both on-site and remote settlement services.

Travel Logistics
-
Alignment with travel agency partner specializing in working with live entertainment for commercial flights and lodging.

Review and confirm all commercial and/or private charter flights.
-
Lodging (sending hotel instructions covering check in/out times, arranging rooms to be pre-checked upon arrival, security needs and folio management upon check-out).

Ground movements (arranging any/all ground transportation from private livery services or bus charter companies).

Hiring airport greeters and/or VIP travel services when necessary.

Calculating all movements and timeline while adhering to DOT regulations for buses and trucking (hiring dual drivers for any long haul runs if required).
